Your permit book, minus the binder.

Every compliance document on every driver's phone. A daily check flags every permit before it expires, so no truck goes out of service over a date you could have caught. Works offline. Opens at roadside by QR. Built by a ten-year trucking compliance consultancy, not a software startup.

In short

VPB is a digital permit book for trucking fleets. Fleet managers upload each compliance document once and assign it to a driver, truck, trailer or the whole company; it reaches every driver's phone immediately and works offline. At roadside, a QR code opens the current paperwork with no app and no login. A daily check flags documents before they expire.

Every truck carries a binder. Every binder goes out of date.

Expirations

Expired permits find you at the worst time.

Nobody catches a lapsed permit until an inspector does. Then it's fines, out-of-service time, and a load that isn't moving.

Recordkeeping failures cost up to $1,584 per day. 49 CFR 386

Paper chase

Updating one permit means touching every truck.

Print it, mail it, or drive it out to the yard. Multiply by every truck, every renewal, every year.

Roughly 1 in 5 trucks inspected during CVSA Roadcheck went out of service. CVSA 2025

Roadside delays

Binder digging burns inspection time.

Five minutes flipping pages while the clock runs. The right document should take ten seconds, not a search party.

How it works

Set up in an afternoon. Not a quarter.

  1. 01

    Upload

Drag in your permits, registrations, and insurance certs. Import your roster from a CSV exported from whatever you run now. VPB files every document by category and asset.

  2. 02

    Push

Assign documents once. Every driver's phone updates: no printing, no mailing, no yard runs.

  3. 03

    Get Notified

Expiration alerts flag every document before it lapses: a daily check, 30 days ahead by default. Inspections become a ten-second tap.

See how it works

Built by people who've managed permit books, not just digitized them.

KCC2 Consulting, ten years in trucking compliance. We built VPB because the binders we managed for our own clients kept going out of date. We've sat with the binders, chased the renewals, and stood at the roadside. This is the tool we wished existed, so we built it. And we run our own clients on it. Electronic documents are accepted at roadside: CVSA Inspection Bulletin 2021-05 confirms it, and 49 CFR 390.32 has allowed electronic recordkeeping since 2018.

Pricing

Pay for trucks, not seats.

$6.99 per truck a month, down to $4.99 as the fleet grows. Drivers, trailers and admin seats are free. Pay annually and you pay for ten months, not twelve.

Frequently asked questions

Will DOT officers accept documents on a phone?

Yes. 49 CFR 390.32 has allowed electronic recordkeeping since 2018. CVSA Inspection Bulletin 2021-05 confirms electronic documents are accepted at roadside. Every truck and trailer also carries a QR sticker an officer can scan, no app needed. Some state-issued permits have their own rules, so VPB shows the original scan, not a re-typed copy.

What happens when there's no cell signal?

Documents cache on the driver's phone. Once synced, the permit book opens with no signal: weigh stations, dead zones, doesn't matter.

How long does setup take?

Most fleets are running the same day. Import your roster from a CSV, upload your documents, assign them. No IT department required.

What if a driver switches trucks?

Documents attach to the driver, the truck, the trailer or the whole company, not to a phone. Assign the driver to a different rig and that rig's paperwork is what they see.

What does VPB do that a shared drive doesn't?

It watches the dates. A daily check flags every document before it expires (30 days ahead by default, set per document category), and one email each morning lists what's expiring and what's expired.

Do drivers need training?

If they can open an app, they're trained. Drivers see only what's current for their assignment: nothing to file, nothing to manage.
